BestStep Tutoring ("BestStep," "we," "us") connects families in and around Boca Raton, Florida with local tutors. This policy explains what information we collect on beststeptutoring.com, why we collect it, and the choices you have. Questions? Email BestStepTutoring@outlook.com.

Who this website is for

Our website is written for parents, guardians and adult students. We don't knowingly collect personal information directly from children under 13. For any student under 18, a parent or guardian completes our forms. Our Children's Privacy Notice explains how we handle information about children.

What we collect and why

When you ask to be matched with a tutor

Your student's first name and grade; the subjects, challenges, goals and learning style you describe; session preferences such as format, length, availability and package interest; your ZIP code; your name, email address and phone number; how you'd like to be contacted; and anything else you choose to tell us. We use this to match your student with a tutor, schedule sessions, and contact you about tutoring.

We don't ask for a student's last name, birthdate, school name, photo or home address on our forms.

When you leave a review

Your first name and last initial, your student's grade level, your rating and review, and your email address. We use your email only to confirm you're a BestStep family. It's never shown publicly.

When you apply to tutor

Your name, contact details, city or ZIP code, experience, availability, application answers and resume. We use these to evaluate your application and contact you.

Zoom session recordings

With a parent's or adult student's consent, all Zoom tutoring sessions are recorded for the student's safety. Recordings are stored securely, viewed only if a safety concern comes up, and deleted after 30 days. Parents can request a copy of a recording, or ask us to delete it, at any time by emailing BestStepTutoring@outlook.com.

Who we share information with

We never sell or rent family information, and we never share it for advertising. We share information only:

• With the tutor matched to your student, limited to what they need to tutor and schedule.
• With service providers that help us run BestStep, such as the company that hosts this website and receives form submissions (Netlify) and our video platform for online sessions (Zoom). They may use the information only to provide their services to us.
• When required by law, or to protect the safety of a student or others.

Cookies and tracking

This website doesn't use advertising cookies, tracking pixels, remarketing, session-recording tools or third-party analytics. We don't track or profile students.

How long we keep information

We follow common industry practice: we keep information only as long as we need it for the purpose we collected it, or as long as the law requires, and then we securely delete it.

• Zoom recordings: deleted after 30 days.
• Match requests that don't lead to tutoring: deleted 1 year after the request.
• Family and student records, such as your match request, your student's details and session scheduling: kept while your family works with us and deleted 1 year after your last session. If unused package sessions remain (packages last up to 3 years), we keep these records until 1 year after the package expires.
• Payment and billing records: kept for 3 years after the tax year they belong to, as the IRS recommends, then deleted.
• Reviews: kept while the review is published and deleted on request. Reviews we don't publish are deleted after 1 year.
• Tutor applications: kept for 1 year after we make a decision, the standard period under federal employment rules, then deleted.
• Records for tutors who work with us, including background check results: kept while they tutor with us and for 4 years after, for tax and safety records, then deleted.

If the law requires us to keep something longer, or we need it to resolve a dispute or a safety concern, we keep it only until that's resolved.

How we protect information

This website uses HTTPS encryption. Form submissions are stored with our website host and are accessible only to BestStep staff who need them. Tutor resumes are stored privately.

Your choices

You can ask us to review, correct or delete your information, or your child's information, or withdraw your consent at any time by emailing BestStepTutoring@outlook.com. We'll respond promptly.

Changes to this policy

If we change this policy, we'll post the new version here and update the date at the top. If a change affects how we use children's information, we'll ask parents for consent first when the law requires it.
